How Do I Stop Windows Firewall From Blocking Services Used By QuickBooks?

Chief Mechanic · August 24, 2010 ·

In a multi-user environment there are 2 QuickBooks services that need to be able to communicate with the computer on which the company file (.qbw) is located. For QuickBooks 2009, these services are QBCFMonitorService and QuickBooksDB19. For earlier versions of QuickBooks, the service QuickBooks19 will be named QuickBooksXX, where XX is replaced by 2 digits.

Windows Firewall can block these services, preventing normal multi-user operation. Some common QuickBooks errors that may be associated with firewall issues are listed at the bottom of this post.

To stop this unwanted behavior, the solution is to add both services to the Exceptions list in Windows Firewall on both the computer hosting the company file (.qbw) and each workstation in the multi-user configuration. The Exceptions list is a list of programs that Windows Firewall will not block. The executable files (including their normal folder locations) are:

C:Program FilesIntuitQuickBooks2009QBDBMgrN.exe
C:Program FilesCommon FilesIntuitQuickBooksQBCFMonitorService.exe

Start with the computer hosting the company file and proceed to each workstation in turn, completing the steps outlined below on each computer.

To add these programs to the Windows Firewall Exceptions list in Windows XP, click the Start button and open the Control Panel. Choose Windows Firewall in Classic View or Security Center in Category View. Click on the Exceptions tab as shown below.

Click the Add Program… button to add the first service to the Exceptions list. Click the Browse… button and navigate to the location of your QuickBooks program. For QuickBooks 2009, this is usually:

C:Program FilesIntuitQuickBooks2009

Choose QBDBMgrN.exe from the list and click Open. Click Ok to add this service to the Exceptions list.

Repeat this process to add the next service to the Exceptions list. Click the Add Program… button and navigate to the location for common files used by Intuit products. For QuickBooks 2009, this is usually:

C:Program FilesCommon FilesIntuitQuickBooks

Choose QBCFMonitorService.exe from the list and click Open. Click Ok to add this service to the Exceptions list.

Once you’ve successfully added both services to the Exceptions list, they’ll appear in the list of programs and services as shown below:

Repeat these steps to add both services to the Exceptions list on each workstation in the multi-user configuration.

Firewall problems may manifest themselves as the following QuickBooks errors:

  • H101
  • H202
  • H303
  • H505

What Does Error Code H202 Mean?

Chief Mechanic · August 24, 2010 ·

According to Intuit, Error Code H202 indicates that QuickBooks can’t access the company file, which is located on another computer. This error code has multiple possible causes:

  • QuickBooks can’t obtain the Internet Protocol (IP)address of the computer where the company file is located
  • the .ND file is damaged
  • incorrect hosting configuration settings

What Is the Connection Diagnostic Tool and How Do I Use It?

Chief Mechanic · August 24, 2010 ·

The QuickBooks Connection Diagnostic Tool is a program to troubleshoot errors you might receive when opening a QuickBooks company file (.qbw) in a multi-user environment.

It only works with QuickBooks 2008 or newer and Enterprise Solutions 8.0 or newer.

It’s designed to troubleshoot error codes H202, H505, and 6000 series errors, such as error code -6130,0.

You can download the QuickBooks Connection Diagnostic Tool directly from Intuit. Once installed on the same computer on which the company file is located, the tool can diagnose and, in some cases, repair connection problems.

How Do I Resolve a Paycheck That Incorrectly Calculates Payroll Taxes?

Chief Mechanic · August 24, 2010 ·

If this is the first time you’ve run payroll or issued a paycheck to this employee, it’s likely that incorrect payroll tax calculations are due to an incorrect setup. This article addresses the situation where previously issued paychecks to a given employee contained correct tax calculations, but a new attempt to produce a paycheck shows incorrect payroll taxes, even though no changes were made to payroll configuration.

In this situation, incorrect calculations of payroll taxes are usually caused by one of several factors:

  • you’re using an out-of-date tax table
  • data corruption in your QuickBooks company file (.qbw)

There’s also the possibility that the calculation only appears incorrect if federal or state withholding amounts on a paycheck are 0.00. QuickBooks annualizes the wages on a paycheck, and if the annualized wages are small, federal or state withholdings can be correctly calculated as 0.00, even when prior paychecks for the same employee included these withholding taxes. Intuit describes this as a Special Calculation Situation in the window below:

QuickBooks 2010 Special Calculation Situation

However, even in these situations, other taxes may be due, such as employer FICA taxes. If all taxes are calculated at 0.00, that may indicate an incorrect calculation.

The first step to resolve an incorrect payroll tax calculation is to make sure you have the latest payroll update. See our article on how to update your QuickBooks payroll software.

Once you’ve installed the latest update, attempt to create a new paycheck for the same employee whose paycheck previously showed incorrectly calculated payroll taxes. Even if the payroll tax calculations are incorrect, complete the steps to save the paycheck. If the payroll tax calculations are correct, the payroll update solved the calculation problem.

If the payroll tax calculations remain incorrect, your QuickBooks company file likely has data corruption. Before addressing the data corruption, open the Employee Center, locate the employee with the incorrectly calculated paycheck that you just created, and delete the paycheck with the incorrect payroll tax calculation. That will prevent an incorrect check from being issued.

Many, but not all, data corruption problems can be solved with QuickBook’s Rebuild utility. See our article on how to use the Rebuild utility to fix a damaged company file.

Once you’ve successfully run the Rebuild utility, attempt to issue a paycheck to the same employee whose paycheck previously contained an incorrect tax calculation. If the payroll tax calculation continues to be incorrect, it’s possible that your company file has data damage that the Rebuild utility couldn’t fix or there are other issues involved. An undamaged QuickBooks company file running with the latest payroll updates and correct payroll configuration will produce correct payroll tax calculations.
