How Do I Rebuild a Damaged Company File?

QuickBooks includes a utility to rebuild a company file in the event the file becomes damaged. Rebuilding a company file is an appropriate step in these circumstances:

  • verifying the company file (.qbw) failed
  • the verify utility returns a b-check error
  • payroll forms display incorrectly

In QuickBooks 2004 and 2005, a company file can be rebuilt without first being opened. Beginning with QuickBooks 2006 and thereafter, a company file must first be successfully opened before it can be rebuilt. That limits the functionality of the Rebuild Data utility to files where the damage does not prevent the file from opening.

To rebuild your QuickBooks company file, do the following:

  1. Run the rebuild by visiting the File->Utilities->Rebuild Data menu selection
  2. Follow the steps outlined below to backup your data
  3. Leave the rebuilding process uninterrupted until completion

Once you’ve started the Rebuild Data utility, QuickBooks will prompt you to make a backup of your company file before continuing. Follow these steps to backup your data:

What Is the Company File Diagnostic Tool and How Do I Use It?

Intuit’s QuickBooks Company File Diagostic Tool is designed to diagnose and repair problems that prevent a company file from opening. The tool is a program that you can download from Intuit, install on the same computer where the company file is located, and run.

The program only works on company files (.qbw) from QuickBooks 2006 or newer.

There are 3 possible outcomes from running the Company File Diagnostic Tool:

  1. The tool identifies and repairs the problem that prevented you from opening the company file in QuickBooks;
  2. The tool identifies a problem but can’t fix it;
  3. No problem is found.

If the tool identifies a problem and can’t fix it, you can either restore from a backup or investigate other data recovery options. If the tool doesn’t find a problem and you still can’t open the company file, your problem may be caused by something other than company file data damage, such as your computer configuration. There’s also the possibility that your company file has damage that the tool is unable to detect.

Users experiencing error code -6130, 0 may need to run the tool a second time to resolve this error. There’s a checkbox setting specific to this error, Force 6130 Fix, that should be checked if a single pass of the tool doesn’t allow the company file to be opened without error.

What Is the Connection Diagnostic Tool and How Do I Use It?

The QuickBooks Connection Diagnostic Tool is a program to troubleshoot errors you might receive when opening a QuickBooks company file (.qbw) in a multi-user environment.

It only works with QuickBooks 2008 or newer and Enterprise Solutions 8.0 or newer.

It’s designed to troubleshoot error codes H202, H505, and 6000 series errors, such as error code -6130,0.

You can download the QuickBooks Connection Diagnostic Tool directly from Intuit. Once installed on the same computer on which the company file is located, the tool can diagnose and, in some cases, repair connection problems.

Does Intuit Offer Support For IIF Files?

Unfortunately, no. Intuit’s policy is stated in this Intuit knowledgebase article.

Intuit Interchange Files are delimited text files that can be used to import and export data when working with a QuickBooks company file (.qbw).

While the ability to use IIF files is still included in QuickBooks, most newer programs have adopted techniques that make use of the Intuit Software Development Kit (SDK). That has caused the use of IIF files to decline over time, something that Intuit has encouraged by its policy of non-support.

The file structure of an IIF can be complex. Intuit has some online resources to help users create or edit an IIF file, including sample IIF files and IIF import tools.

What Are the Capabilities of IIF Files?

Intuit Interchange Format (IIF) files are delimited text files used for import and export operations with Intuit data files, such as a QuickBooks company file (.qbw).

In QuickBooks, IIF files have some important limitations, which are discussed in this Intuit knowledgebase article. These files:

  • can’t be used to import linked transactions, such as a link between a customer invoice and a customer payment paying for that invoice
  • can only be used in single-user mode and logged in as the Admin user
  • can’t be used to import or export payroll data
  • can’t be used to export transactions

Because of these limitations and the fact that Intuit doesn’t support their use, IIF files are increasingly becoming obsolete.
